Loading & unloading information for exhibitors

Uncoordinated arrivals can slow setup and create congestion. Our loading and move-in guidelines help exhibitors and vendors arrive at the right time, use approved access points, and complete setup safely and efficiently.

During Setup & Breakdown

What to Expect on Arrival

When you arrive for move-in:

  • Unload materials promptly in designated zones
  • Move vehicles immediately after unloading
  • Be prepared to transport materials to your booth space

Small carts may be available for items 50 lbs. or less, depending on availability. We do not provide forklifts or pallet jacks.

Move-Out Guidelines

Move-out begins after the event officially closes.

  • Early teardown is not permitted
  • Loading access will follow the assigned schedule
  • All materials must be removed within the designated timeframe

Exhibitors are responsible for arranging pickup of all booth materials.

BEfore ARRIVAL

Check Designated Move-In Window

Exhibitors arrive during scheduled move-in windows set by event organizers.

  • Arrival times are assigned in advance
  • Early or late arrivals may not be accommodated
  • Access is coordinated to manage traffic and safety

Confirm your assigned move-in window before arrival.

Got Oversized Items or Need Special Access?

If you are bringing large, heavy, or oversized items:

  • Advance coordination is required
  • Doorposts may not be removed without approval
  • Some access adjustments must be handled by Convention Center staff

Contact the Catering Office at least 7 days in advance to discuss access needs.

Move-iN & MOVE-OUT DETAILS

Loading Areas & Access

Exhibits are moved into the building through designated loading docks and service entrances.

  • Loading zones are for temporary unloading only
  • Routes from dock to show floor are clearly marked
  • Follow posted signage and staff instructions at all times

Shipments & Deliveries

Shipped exhibitor materials may arrive up to three days before the event and must be delivered directly to the Wenatchee Convention Center loading area during approved delivery windows. All shipments must be clearly labeled and moved out of loading areas promptly upon arrival. Return shipping and pickup arrangements are the responsibility of the exhibitor.
